Here is a starting point for generating your own emergency process.
ICE (In Case of Emergency) Procedures for an Etsy Shop
Create a list of URLs for Etsy shops and PayPal account. Provide the User Name and Password for each. Keep the list in a safe place with these steps for your emergency manager.
To carry out the procedures listed below, first log in to the shop.
Temporary Shop Closing:
To shut down the shop temporarily the best option is to put it in Vacation Mode. Click on the “Your Shop:xxx” link at the top of the screen. Then, on the left side menu, click on Options in the Shop Settings category. In the Shop Settings window, select the Vacation Mode tab. Click “On” to put the shop in Vacation Mode and create appropriate messages in the Announcement and Message fields. Click Save to implement these actions.
Permanent Shop Closing:
To close the Tamarack Stoneware account on Etsy permanently go to the Your Account menu at the top right of the screen. After logging in, you can go through the process to close the account. Before closing the account, check to see if there are any outstanding orders and either ship them or cancel them. Closing the account will require paying any outstanding balance of fees and charges.
Check for Outstanding Orders:
Click on the “Your Shop:xxx” link at the top of the screen. Then, on the left side menu, click on Sold Orders under the Orders category. That will open a listing of all open orders. If the open orders and be fulfilled, the postage can be purchased by clicking on Print Shipping Label and then filling in the required fields.
If any open orders cannot be fulfilled, it would be best to cancel them. Orders can be canceled by clicking on the linked number under Receipt in the order heading as it appears in the Open Order list.
When the receipt window opens, there is a Contact button on the right side that can be used to inform the Seller of the action being taken and the reason for it.
On the lower right side of the receipt is a link labeled “Manage Order” with the options of Issue a Refund and Cancel Transaction. If the buyer paid via Etsy Gift Card or credit card (Direct Checkout), issue a full refund Shop Payment Account before you cancel. This can be done by clicking the Issue a Refund link and then filling in the amounts that the Buyer paid for the item and the shipping.
If the buyer paid via PayPal, check, money order, or “Other” payment method, refund the buyer through the appropriate method, and be prepared to provide proof of refund in case of a dispute.
Once, a full refund has been provided to the Buyer, select the Cancel Transaction link. Fill out the form to request cancellation of all transactions within the order. Etsy will email a notice to both the Seller and the Buyer.
Cancellations process within 48 hours so this period must be allowed to lapse before closing the Etsy account. The Etsy bill will be credited for the applicable fees, and the transaction will move to the Canceled tab on the Sold Orders page. Etsy will email you a receipt when your cancellation is processed.
Issue a PayPal Refund:
Log in to your PayPal account.
Find the payment and click Details.
Scroll down to refund the payment. You can select a full refund or a partial amount.
You'll receive a refund of your PayPal fees based on the type and amount of the refund you issue.
If the buyer used a credit card without signing in to a PayPal account (in other words, if they used PayPal Guest Checkout), the refund will go back to their credit or debit card. It can take up to 30 days for the refund to show up on their card statement.
If the transaction is over 60 days old, you won't be able to issue a refund in PayPal, but will have to Send Money to the buyer.
